Admittee's analytics features help you track performance metrics and gain insights into your institution's activity. This guide explains how to interpret and use the data available to you.
Overview
Your dashboard displays key metrics across rentals, contracts, and other institutional activities. These metrics are formatted consistently to help you quickly understand financial and operational data.
Reading Financial Metrics
All monetary amounts in Admittee are displayed in standard currency format. Amounts may appear with or without cents depending on context:
- Full precision: Amounts like $1,234.56 show exact financial details
- Rounded: Amounts like $1,235 omit cents for cleaner presentation in certain views
Use the full-precision view when reconciling payments or reviewing detailed financial records.
Tracking Rental Status
Each rental event displays a status that reflects its current stage:
- Display status shows the user-friendly label (e.g., "Pending deposit", "Confirmed", "Completed")
- Underlying status determines which actions you can take on the rental
Status transitions follow a defined lifecycle. Check the status indicator on each rental row to understand what step the agreement is in and what actions are available next.
Viewing Rental Financial Information
Rental metrics include:
- Base rate: The hourly or daily rate applied to the rental
- Quantity: How many hours, days, or units are being rented
- Deposit due: The advance payment required before the rental is confirmed
- Total amount: The full cost of the rental
All rental calculations display in your institution's configured currency.
Filtering and Searching Analytics
Use the toolbar to narrow down your data:
- Status filter: Select "All" to see every rental, or choose a specific status to focus on rentals at a particular lifecycle stage
- Date range: Pick a month range to view rentals within that timeframe
- Facilities: Show or hide specific facilities to focus on the ones you manage
- Search: Type a customer name, facility name, or other detail to find specific records
Interpreting Table Columns
The main analytics table displays:
- Opponent / Customer: The renting organization or event name
- Date: The scheduled date(s) for the rental or event
- Payment: How much has been paid and how much is outstanding
- Status: The current stage of the agreement
Sort any column by clicking its header to reorganize the view by that metric.
Exporting and Reporting
You can access detailed reports through the Reports section. Reports aggregate your analytics into downloadable formats suitable for reconciliation, budget planning, and institutional record-keeping.
Understanding Date and Time Displays
All dates and times in your analytics are displayed in your institution's configured timezone. This ensures that rental schedules, contract deadlines, and event dates reflect your local time, not UTC or any other reference timezone.
Common Analytics Tasks
Checking rental revenue: Open the Rentals tab, review the Payment column for each row, and use the date range filter to isolate a specific period.
Finding overdue deposits: Filter by status to show rentals awaiting deposit, then sort by date to see the oldest ones first.
Reconciling a specific rental: Use search to locate the customer or facility, then click into the rental detail to see the full financial breakdown.
Monitoring facility usage: Filter by facility, then review the date range and status columns to see how often each space is booked.
