How Renters Book a Facility
Walks a renter through the public facility booking flow: pick a space and dates, enter contact and optional insurance, sign the facility use agreement after approval, pay the deposit or balance, and get confirmation.
When your organization wants to rent a space, you do it through the organizer's public booking page at a link they share with you. The page walks you from picking a space through signing the agreement and paying, with the organizer reviewing your request in between. This article describes what you see at each step.
Request a space and dates
Open the booking link and you start on the space gallery. Pick the facility you want, then move to the date and time step. There you:
- Choose any sub-spaces within the facility, if the organizer offers them.
- Add one or more date and time ranges. You can request several days in one booking.
- Select your organization class (for example, nonprofit or commercial). This affects pricing and may set whether a certificate of insurance is required later.
The page shows an estimated total based on the rate and the times you pick.
Enter your contact details
On the same step you fill in who is booking: organization name, your name, email, and an optional phone number. You can add notes for the organizer and optionally upload a certificate of insurance. Insurance is never required to send the request — even when your organization class requires it, the certificate is collected after the organizer approves. When the details are valid, submit the request.
You land on a confirmation screen reading "Request submitted" with a request code. Your request is now under review; nothing is charged yet.
Review and sign the agreement
After the organizer accepts your request, your booking page updates to "Awaiting signature." Here you review the facility use agreement — either the organizer's uploaded PDF or a list of facility rules — open it from the consent link, check the box confirming you have read and agree, type your name to sign, and submit. If the organizer requires the named primary contact to sign, your typed name must match.
Pay the deposit or balance
Once signed, the page moves to "Deposit is ready." If a deposit applies and is less than the full amount, you choose whether to pay the deposit or pay in full, then pay by card through Stripe. If you would rather have a colleague pay, you can send the bill to your finance office instead.
Confirmation
After payment the page shows your booking as confirmed, with a receipt and the completed signatures. Any remaining balance stays payable from the same page, and you receive payment confirmations by email.
