Tips for Event Day Setup
Prepare your rental event systems before the event begins by ensuring agreements are in the correct state and all required information is collected.
Verify Agreement State
Before your event day, confirm that all rental agreements have progressed through the required workflow:
- Host sends the agreement — The agreement moves from draft to sent
- Renter completes the request — The renter submits their information
- Host approves — You review and accept the request
- Renter signs — The renter provides their signature
- Deposit is resolved — If a deposit is required, confirm payment or allow the agreement to move to confirmed status
Understand Deposit Requirements
Deposits only block confirmation when explicitly configured:
- With a deposit configured — The agreement parks in awaiting-deposit status until the deposit amount is paid in full
- Without a deposit configured — The agreement confirms immediately upon signing; any remaining balance becomes a regular outstanding invoice collected after confirmation
Finalize Agreement Details
Ensure all required information is captured before event day:
- Renter name and contact details
- Host approval and sign-off
- Any decline notes or special instructions documented (if the agreement was declined, record the reason)
- Signature and timestamp confirmation
Monitor Lifecycle Status
Track where each agreement stands in its lifecycle. Agreements can be cancelled at any stage except when terminal (already declined or cancelled). If an agreement expires before the renter completes their request, you can resend the invitation to move it back to sent status.
