Scanning Tickets at the Gate
Scan tickets, passes, and group tickets at the gate with the Admittee Events app, and understand what each valid or rejected scan message means.
Scanning Tickets at the Gate
On event day, your gate staff scan tickets with the Admittee Events app on a phone or tablet. Every scan is checked against your event in real time, so a ticket can only be used once and tickets for other events are turned away automatically.
Get set up before the event
Scanning for an event is tied to a private access link. Each event has its own link, and anyone who has it can scan tickets for that event — share it only with your gate staff.
To find it:
- In your dashboard, go to Box office and open the event.
- On the event page, click Event day App in the top bar. A Scan & collect window opens with three steps: Download the EventDay App, Open or share the access link, and Scan tickets & accept payments.
- Use Copy EventDay link (staff) to copy the access link and send it to your staff, or click the QR code button so staff can scan the code with their phone to launch the app directly. There's also a Download on the App Store badge for installing the app.
The same link also appears further down the event page under Ticket preview, in the Ticket scanner section ("Use this link to redeem tickets for this event."), with its own copy and QR code buttons.
If a staff member opens the link on a phone that doesn't have the app yet, they're taken to the app store to install it first.
Scanning a ticket
Once the app is open on your event, the camera screen shows Ready to scan. Point the camera at the attendee's ticket QR code — on their phone screen or a printout. The app briefly shows Checking ticket... while it verifies the ticket.
A valid scan turns the screen green, plays a ding sound, and shows Valid ticket (or Valid pass for a pass). The scan is added to the running activity list, and the app returns to Ready to scan for the next person.
A rejected scan turns the screen red and plays an error sound, with a message explaining why (see below).
Group tickets
When one QR code covers several tickets (for example, a family ordered four tickets in one purchase), scanning it shows Valid group ticket and opens a panel that lists the tickets in the group by type, with how many are still unused. Select the number of tickets to redeem — this lets you admit just the people standing at the gate now — then tap Redeem selected tickets. The rest of the group can be admitted later with the same QR code.
If every ticket in the group has already been used, the scan is rejected with Used group ticket — "All tickets in the group are already redeemed."
What rejection messages mean

| Ticket already redeemed | This ticket was already scanned in. Someone may be reusing a screenshot of a ticket that's been used. |
| Pass already redeemed | This pass has already been used for this event. |
| Ticket not found / Purchase not found / Pass not found | The code isn't a recognized ticket — for example a stale or corrupted code. |
| Wrong event — "This ticket is for a different event" | The group ticket is real, but it was bought for another event. |
| Pass does not include this event | The pass is valid, but this event isn't covered by it. |
| Not enough credits remaining | A credit-based pass has run out of credits. |
| Network error | The phone lost its connection. Check Wi-Fi or cellular signal and scan again. |
Fixing a mistaken scan
If you scan someone in by accident, open the scan activity in the app, select the scan, review the ticket details, and tap Undo scan. The ticket becomes valid again and can be scanned normally later. Tap Cancel to back out without changing anything.
Tips for the gate
- Test the app with your staff before doors open. The event page has a Ticket demo section ("Try scanning this ticket with the scanner above!") so you can practice a scan without using a real ticket.
- Scanning needs an internet connection — make sure your gate has Wi-Fi or cell coverage.
