Approving or Rejecting Requests
You can approve scheduling requests by opening them in the contract editor, or reject them by withdrawing the request through the row's action menu.
Approving or Rejecting Requests
You can manage facility booking or scheduling requests through your dashboard. This guide walks you through reviewing requests, approving them, and taking related actions.
Understanding Request Status
Scheduling requests appear in your Contracts view with the status Awaiting host response. Each request shows:
- Opponent — the institution sending the request
- Sport & Level — the activity type (e.g., Girls Basketball, Varsity)
- Requested Date(s) — either a specific date or a date window
- Status — updated in real time as you take action
Reviewing a Request
- Open the Contracts tab on your dashboard.
- Look for rows marked Awaiting host response — these are active scheduling requests.
- Click on any request row to see full details, including:
- Opponent institution name and contact
- Requested date preference (specific date or range)
- Requested competition level (Varsity, JV, etc.)
- Gender and activity type
Approving a Request
When you approve a request, you create a contract from it:
- Open the request details.
- Click Open contract or the primary action button.
- You'll be taken to the contract editor where you can:
- Confirm or adjust the event date and time
- Set location and facility details
- Configure payment terms (if applicable)
- Add event-specific details
- Save and send the contract to the opponent institution.
Rejecting or Withdrawing a Request
If you cannot accommodate the request:
- Locate the request row in your Contracts view.
- Click the three-dot menu (kebab) on the right side of the row.
- Select Withdraw request.
- Confirm the action — the request will be marked cancelled and removed from your active list.
Resending a Request
If the opponent hasn't responded and the request hasn't expired:
- Click the three-dot menu on the request row.
- Select Resend request — this rotates the magic link and resends the email invitation.
- The opponent receives a fresh invitation to respond.
Expiration and Cleanup
Requests automatically expire after a set period if no action is taken. Expired requests are removed from your active list. You can manually withdraw a request before it expires using the Withdraw request action.
